Job Title: Executive Sales Administrator (Supporting the President/Director of Sales)

Job Summary
We are seeking a proactive, detail-oriented Executive Sales Administrator to provide high-level administrative and operational support directly to the President/Director of Sales in our Brampton office.
This key supporting role combines executive-level assistance with hands-on sales operations, customer coordination, and supplier management — with a significant focus on our Italian supplier network. The ability to read and write Italian is a key requirement for effective supplier communications.
The ideal candidate is highly organized, solutions-focused, accurate, and thrives in a fast-paced environment.
As a trusted support partner to the President/Director of Sales, you will help ensure smooth day-to-day operations, strong supplier relationships, and excellent customer service, directly contributing to the company’s success.
Key Responsibilities
High-Level Executive Support to the President/Director of Sales
Provide direct, high-level administrative support including calendar and meeting management, preparing professional correspondence, reports, and presentations.
Coordinate travel arrangements and support the President/Director of Sales with scheduling, priority management, and special projects.
Prepare weekly and monthly sales reports, dashboards, and performance tracking for executive review.
Assist with expense tracking, basic financial reconciliation, and other leadership-level tasks as assigned.
Sales Operations & Customer Support
Process customer orders, prepare accurate quotes, invoices, and sales contracts.
Manage and update vendor portal listings
Maintain and update customer databases, pricing lists, and product catalogs.
Serve as a key point of contact for customers, responding promptly via phone, email, or in-person.
Coordinate with internal teams (production, logistics, finance) for timely order fulfillment and issue resolution.
Handle order status updates, shipping coordination, returns, credits, and customer complaints professionally.
Purchasing & Supplier Management
Manage purchasing and communications with suppliers, many of whom are based in Italy.
Issue purchase orders, track deliveries, monitor inventory levels and reorder points.
Support product sourcing, supplier negotiations (when directed), and relationship management.
Verify supplier invoices, reconcile receipts, and resolve discrepancies.
Utilize strong Italian reading and writing skills to handle supplier emails, documents, contracts, and communications effectively.
General Duties
Maintain accurate digital and physical filing systems for contracts, purchase orders, and records.
Ensure compliance with company policies and data privacy standards.
Contribute to a positive, collaborative team environment.
Qualifications & Requirements
Experience:
Experience with GS1 standards and EDI (Electronic Data Interchange) — required.
Minimum 2 years of administrative experience, preferably providing support to senior leadership or in a sales/purchasing environment (required).
Experience in sales coordination, customer service, or procurement is strongly preferred.
Education
Secondary School diploma or equivalent (required); post-secondary education in Business Administration, Supply Chain, or a related field is preferred.
Languages:
English fluency (required).
Italian — ability to read and write effectively (strongly preferred / key asset) due to ongoing communications with Italian suppliers.
Skills & Competencies:
Strong proficiency in Microsoft Office (especially Excel, Outlook, and Word).
Excellent organizational skills with high attention to detail and accuracy.
Professional communication and interpersonal skills suitable for executive-level interactions.
Proactive problem-solver capable of managing multiple priorities.
Familiarity with CRM/ERP systems, inventory software, or purchasing tools is an asset.
