Job Purpose
Reporting to the Vice President, People & Culture, the Payroll and Benefits Specialist is responsible for administering the full payroll cycle and employee benefits. This includes processing payroll, calculating deductions, maintaining payroll records, and ensuring accuracy and compliance with established processes and legislative requirements. The role requires strong accuracy, attention to detail, and a commitment to delivering a high-quality experience to employees and internal stakeholders. The position applies judgment within established payroll and benefits guidelines and seeks guidance on complex or sensitive matters.
Job Duties and Responsibilities
Payroll Administration
- Lead the full payroll cycle, including changes, updates, verification of employee data, balancing, reconciliation, and payroll submission.
- Process off-cycle payrolls and complete all post-payroll tasks.
- Prepare, verify, and process all payroll-related payments and deductions, including bonuses, vacation, unpaid leave, incentives, termination pay, allowances, and director fees.
- Maintain documentation for all payroll changes, payments, and adjustments in accordance with processes, standards, privacy requirements, and records management guidelines.
- Process Records of Employment (ROEs) accurately and within Service Canada deadlines; respond to related inquiries.
- Lead year-end tasks, including T2200 preparation, balancing, reconciliations, and adjustments required for T4s.
- Create and pull payroll-related and ad hoc reports as needed.
Employee Data & Life Cycle Support
- Support employee life cycle events in ADP Workforce Now, maintaining data accuracy for new hires, leaves of absence, salary increases, work assignment changes, transfers, promotions, demotions, and terminations.
- Help maintain the accuracy and integrity of vacation accruals.
- Update Standard Operating Procedures related to payroll and benefits processes.
Benefits Administration
- Administer employee benefits, including benefits premiums and related reconciliations.
- Process leave of absence and paid-time-off documentation.
- Conduct online benefits meetings to communicate benefit options and changes to employees.
- Audit benefit enrollment reports for accuracy.
- Support adjustments or inquiries related to employee benefits programs.
Collaboration & Employee Support
- Act as the main point of contact for payroll inquiries, providing timely and knowledgeable support to employees and internal stakeholders.
- Deliver a high-quality team member experience through clear communication and problem-solving.
- Liaise with relevant departments regarding timecard approvals, troubleshooting issues, and resolving discrepancies.
- Maintain up-to-date knowledge of payroll legislation and changes that affect payroll and benefits.
Qualifications
- Bachelor’s degree in Accounting, Human Resources, Business, or a related field.
- Payroll Compliance Practitioner (PCP), Certified Payroll Manager (CPM), or comparable designation.
Experience, Skills & Competencies
Experience:
- Minimum of 3 years of experience in payroll and benefits administration.
- Strong knowledge of payroll and benefits administration regulations and procedures.
- Advanced knowledge of the ADP payroll system, preferably the Workforce Now suite.
Skills:
- Strong accuracy and attention to detail.
- Excellent verbal and written communication skills.
- Proficiency with Microsoft Office applications.
- Advanced proficiency with ADP Workforce Now and other payroll/benefits software.
- Solid organizational and time management skills to handle multiple tasks and deadlines.
- Strong analytical skills related to payroll calculations and benefits data.
Competencies:
- Confidentiality and discretion in handling sensitive employee information.
- Customer service orientation and ability to support employees with professionalism.
- Collaborative approach when working with HR, Payroll, and cross-functional teams.
- Problem-solving mindset when addressing payroll or benefits issues.

Working Conditions / Physical Requirements
- Work is performed in a professional office environment using standard office equipment.
- Prolonged periods of sitting and computer use may be required.
- Frequent multitasking is expected to support payroll deadlines and benefits cycles.
- Occasional increases in workload may occur during payroll year-end, audit periods, or benefits enrollment cycles.
- No travel required.
