Job Overview

We are seeking a highly organized and detail-oriented Administrative Coordinator to join our team. This role is vital in ensuring smooth office operations, providing exceptional customer service, and supporting various administrative functions. The ideal candidate will have strong clerical skills, proficiency with office software, and the ability to manage multiple tasks efficiently in a fast-paced environment. Experience in medical or dental offices is a plus, but not required. This position offers an opportunity to contribute to a professional and collaborative workplace while developing your administrative expertise.

Responsibilities

Manage front desk duties including greeting visitors and answering multi-line phone systems with professionalism and courtesy
Perform data entry, filing, and document proofreading to maintain accurate records
Utilize software such as QuickBooks, Microsoft Office, and Google Workspace for bookkeeping, report generation, and correspondence
Coordinate appointments, schedule meetings, and assist with calendar management
Provide customer support by addressing inquiries via phone or email and ensuring excellent service standards
Assist with medical or dental office administrative tasks such as patient check-in/out, insurance verification, and record keeping (if applicable)
Support administrative projects including filing systems organization and document preparation
Maintain organizational efficiency through effective time management and task prioritization

Skills

Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
Strong computer skills including data entry, document proofreading, and basic bookkeeping using QuickBooks or similar software
Excellent organizational skills with the ability to multitask effectively in a busy environment
Exceptional phone etiquette and customer service skills for front desk interactions and client support
Clerical experience in an office setting; experience in medical or dental offices is advantageous
Ability to handle multi-line phone systems efficiently and professionally
Strong typing skills with attention to detail for accurate data entry and correspondence
Organizational skills necessary for filing systems management and appointment scheduling
Ability to work independently with minimal supervision while maintaining high-quality work standards

Pay: $51,293.67-$54,185.68 per year
