Coordinator, Volunteer Services, Student Placement and Community Engagement
Located in the Oakridge area of Vancouver, B.C., Louis Brier Home & Hospital is a 215-bed accredited long-term care facility situated next to the Weinberg Residence, which is home to 40 assisted living and 20 multilevel care residents.

Reporting to the Director, Human Resources, the Coordinator, Volunteer Services, Student Placements and Community Engagement is responsible for planning, developing, recruiting, screening, orienting, supporting, coordinating, and evaluating volunteers and student placements for Louis Brier Home and Hospital and the Weinberg Residence.
The Coordinator develops and maintains a responsive volunteer and student placement program that supports the needs of residents, families, departments and the organization. The position works collaboratively with leaders, interdisciplinary teams, educational institutions, and community partners to create meaningful volunteer and student experiences that are consistent with LBHH&WR’s Mission, Vision, Values, person-centred care, trauma-informed practice, safety requirements, privacy expectations and Jewish traditions and values.
The Coordinator serves as an ambassador for Louis Brier Home and Hospital and Weinberg Residence within the Jewish community, educational sector, and broader community. The position cultivates relationships that support volunteer recruitment, student placements, workforce development, community engagement, and resident quality of life. The position proactively identifies opportunities to strengthen volunteer involvement and student learning experiences, supporting LBHH&WR as a preferred partner for community engagement, volunteerism, and healthcare education.
Volunteer Program

Recruits, interviews, screens and selects volunteers in accordance with organizational requirements, including reference checks, criminal record checks, immunization/TB screening and other onboarding requirements as applicable.

Consults with leaders, interdisciplinary teams and other stakeholders to determine organizational, departmental and program needs for volunteers; matches volunteer skills, interests and availability to identified needs.

Assigns, reassigns or concludes volunteer assignments when required, using sound judgment, respectful communication and appropriate documentation. Escalates concerns to the Director, Human Resources as needed.

Develops and evaluates volunteer programs and services, including goals, objectives, outcomes and methods of evaluation such as satisfaction surveys, needs analysis, partner feedback, performance feedback and exit surveys.

Plans, organizes and implements volunteer recognition initiatives, including appreciation events and other activities that recognize contribution, strengthen engagement and support a positive volunteer experience.

Promotes volunteer opportunities by presenting to schools, community groups, partner organizations and other external stakeholders to market the program and support recruitment.
Student Placements and Learning Partnerships

Coordinates student placement requests and supports the placement process in collaboration with educational institutions, instructors, preceptors, students, managers and interdisciplinary teams.

Develops, implements and maintains a formalized student placement onboarding process, including timelines, required documentation, orientation requirements, unit communication, and follow-up processes to support timely placement readiness, reduce disruption to clinical units, and promote a positive and organized student placement experience.

Develops and distributes standardized communication to clinical units regarding student placements, including placement type, instructor-led or non-instructor-led model, student training level, scope of practice, competencies, supervision requirements, and unit-specific expectations to support clear communication, consistent supervision, staff confidence, and a safe and positive learning environment.

Consults with leaders, interdisciplinary teams and educational partners to determine organizational, departmental and program needs for student placements; aligns student learning objectives, placement requirements and availability to identified opportunities.

Supports students, instructors and placement partners throughout their experience at LBHH&WR, including responding to questions, resolving issues, supporting placement logistics and closing the feedback loop after placements.

Coordinates site-specific orientation and onboarding requirements for students, instructors and placement partners to support a positive, safe and well-prepared student placement experience.

Develops and maintains partnerships with educational institutions and placement partners to support student placements, person-centred learning opportunities and future workforce development.

Organizes and supports student appreciation and engagement initiatives that recognize student contributions and promote a positive placement experience.
Community Engagement and Strategic Partnerships

Develops and maintains strategic relationships with Jewish community partners, community organizations, educational institutions, and other external stakeholders to support volunteer recruitment, student placements, workforce development initiatives, community engagement, and resident-centred programming.

Cultivates sustainable volunteer pipelines and community partnerships that strengthen connections between residents, families, volunteers, students, and the broader community, including opportunities that support Jewish cultural life, resident quality of life, and meaningful community involvement.

Establishes and maintains strong relationships with universities, colleges, secondary schools, professional programs, and educational organizations to position LBHH&WR as a preferred teaching, learning, volunteer, and community engagement environment.

Liaises with department leaders, interdisciplinary teams, educational partners, community partners, the Foundation, and other stakeholders to coordinate, promote, enhance, and support volunteer and student activities, services, and related community engagement initiatives.

Proactively identifies and develops new student placement opportunities across healthcare, business, administration, recreation, social services, technology, communications, and other disciplines. Maintains a philosophy of maximizing student learning opportunities and works collaboratively with leaders and educational institutions to accommodate placements whenever operationally feasible.

Represents LBHH&WR with professionalism and warmth in community, educational, volunteer, and partnership activities, serving as an ambassador for the organization’s Mission, Vision, Values, person-centred care philosophy, and Jewish traditions and values.
Administration, Reporting, Safety and Compliance

Develops, implements and maintains orientation and onboarding processes for volunteers and students, including orientation materials, role descriptions, learning requirements, site expectations and procedures related to volunteering and student placements.

Ensures volunteers and students are trained in relevant LBHH&WR health, safety, infection prevention and control, emergency, privacy, respectful workplace and violence prevention practices before participating in assigned duties.

Promotes a safe environment for residents, volunteers, students and staff by ensuring volunteers and students understand hazards and potential risks within the scope of their roles. Reports incidents, hazards, adverse events or near misses in accordance with organizational processes.

Conducts volunteer and student satisfaction surveys and uses feedback as part of a continuous improvement cycle to strengthen program experience, address emerging needs and improve program effectiveness.

Responds to volunteer and student concerns in a timely, respectful and solution-focused manner, involving the appropriate leader or department when required.

Maintains accurate records, reports and metrics related to volunteer and student activity, including onboarding completion, placement information, hours, role assignments, evaluations, recognition and other data required for planning, reporting and continuous improvement.

Analyzes volunteer, student placement, and partnership metrics and develops strategies and recommendations to sustain and enhance volunteer engagement, student placement opportunities, community partnerships, and overall program impact.

Plans, organizes and contributes communication materials related to volunteers and students.

Supports resident and family-centred initiatives, including appropriate opportunities for volunteers and students to contribute to meaningful programs, activities and community connections.

Develops and monitors the Student and Volunteer Services budget, as assigned, and manages expenditures within the approved budget.

Attends meetings, conferences, workshops and community events as a representative of LBHH&WR and for own professional development as required.

Maintains confidentiality and handles personal information related to residents, families, volunteers, students, staff and placement partners in accordance with privacy requirements and organizational policy.

Performs other duties as required.
Requirements include a Baccalaureate degree in a related field such as human resources, education, recreation, social services, community development, health administration, gerontology, or another related discipline.
The role also requires related experience in volunteer coordination, student placement coordination, community engagement, human resources, education, recreation, social services or a related field, supplemented by a minimum of three to five years of recent related experience, preferably in long-term care, seniors care, healthcare or a community-based setting. An equivalent combination of education, training and experience may be considered.
A thorough understanding of dementia, aging, physical disabilities, person-centred care and trauma-informed practice is preferred. Experience developing partnerships with community organizations, volunteer groups, educational institutions, and external stakeholders is preferred. Knowledge of Jewish traditions, culture, and community organizations, or demonstrated experience building meaningful relationships within cultural and community-based organizations, is strongly preferred. Training or certification in volunteer management, adult education, student placement coordination or related areas is considered an asset.

Proficiency in the use of computer programs, including Microsoft Word, Outlook, PowerPoint, Excel, databases, online learning platforms and general internet applications.

An understanding of or interest in learning about Jewish culture and heritage would be an asset.
