We are seeking a dedicated, detail-oriented, and proactive Office Administrator to manage and coordinate daily office operations. This role is crucial in supporting internal teams, managing client-facing administrative tasks, and maintaining the smooth flow of operations.
The ideal candidate is highly organized, can manage multiple priorities, and thrives in a structured office environment. You will work closely with our finance, consulting, and operations teams to ensure accurate documentation, timely reporting, and efficient workflow management.
Administrative Operations
- Manage incoming and outgoing communications, including phone calls, emails, and correspondence.
- Maintain organized digital and physical filing systems for clients, vendors, and internal records.
- Prepare operational reports, spreadsheets, and office documentation.
- Coordinate office schedules, meetings, and conference room usage.
- Monitor office supplies and equipment, ensuring availability and proper functioning.
Client Support
- Serve as the primary administrative contact for client-related inquiries.
- Assist with client onboarding processes, document collection, and verification.
- Schedule client meetings and prepare necessary materials, including proposals and agreements.
- Maintain accurate client records in accordance with company procedures.
- Track client requests and ensure timely follow-up with the appropriate teams.
Financial & Operational Coordination
- Support invoice, receipt, and payment processing under the supervision of finance staff.
- Assist with preparation of operational and financial reports.
- Monitor office workflows and ensure tasks are completed in accordance with internal policies.
- Maintain compliance records and documentation for operational audits.
Reporting & Documentation
- Generate daily, weekly, and monthly administrative reports for management review.
- Record project progress, meeting notes, and client interactions.
- Maintain accurate records of office operations, communications, and activities.
- Suggest improvements to administrative processes to increase efficiency.
- Prioritize and respond to incoming phone calls, emails, and in-office requests.
- Coordinate meeting schedules and prepare client and internal documentation.
- Maintain client files, invoices, and office records with accuracy.
- Support finance team with routine processing tasks and reporting.
- Assist management with operational workflows and project coordination.
- Monitor office resources and ensure administrative processes are running efficiently.
- Previous experience in office administration, operations support, or related roles preferred.
- Strong organizational and multitasking abilities.
- Excellent written and verbal communication skills.
- Proficiency in Microsoft Office Suite and cloud-based applications.
