We’re currently seeking a Project Administrator to join our Project Management Office (PMO). This role is a great fit for someone who is highly organized, detail-oriented, and enjoys supporting multiple moving pieces in a project-based environment.
POSITION OVERVIEW:
Position Type: Full-time, In Office (no remote/hybrid options available)
Location: 400-1430 Blair Towers Place, Ottawa ON
Salary: Starting at $58,000 per year (based on experience)
Security Clearance Requirement
This role requires eligibility for a Government of Canada Level II (Secret) clearance. Candidates must be able to provide a full 10-year background history (residency, employment, and education), and consent to criminal, credit, and security checks.
Please note that individuals with limited Canadian residency history or significant time spent outside of Canada may experience longer processing times, which could impact eligibility for this position.

JOB PURPOSE:
The Project Administrator provides administrative and coordination support to the Project Management Office (PMO), helping ensure projects run smoothly and key information stays organized and up to date. This role supports project teams by coordinating schedules, preparing documentation, tracking project details, assisting with budget and expenditure records, and maintaining accurate project files.
The Project Administrator also helps support communication between internal teams, vendors, and clients, while contributing to the overall efficiency and success of PMO activities.
REQUIREMENTS:
- Legally entitled to work in Canada.
- Willingness to undergo a criminal background check.
- Ability to obtain a Level 2 (Secret) Government of Canada Security Clearance.
- Post-secondary education in a relevant field such as business administration, project management, or a related discipline.
- At least three years of experience in an administrative position, demonstrating strong organizational and time management skills.
- Equivalent combinations of education and experience may also be considered.
- Extensive knowledge of the Microsoft Office suite, including Word, Excel, Outlook, and PowerPoint, is required to effectively manage documents, schedules, and communication.
NICE TO HAVE:
- Proficiency in both English and French.
- Demonstrated experience supporting project coordination, administration, or related functions within a project management team or similar environment.
- Previous experience working with cross-functional teams and managing multiple priorities.
- Familiarity with leveraging artificial intelligence for streamlining tasks and enhancing productivity.
- Experience in using AI tools and technologies to automate workflow processes is highly valued.
KEY RESPONSIBILITIES:
- Coordinate and schedule meetings, appointments, and project-related events, ensuring all stakeholders are informed and prepared.
- Prepare, format, and distribute project documentation such as reports, meeting minutes, and presentation materials.
- Assist in tracking project budgets and expenditures, ensuring accurate records are maintained and discrepancies are promptly addressed.
- Maintain organized project files and records, both electronic and hard copy, to ensure accessibility and compliance with company standards.
- Support project teams by facilitating effective communication between internal and external stakeholders.
- Monitor project timelines and deliverables, providing regular updates to the PMO Lead and project managers.
- Contribute to the development and improvement of PMO processes and procedures.
- Perform other administrative duties as assigned to support the efficient delivery of projects.
- Coordinate small part order projects by liaising with internal team members, vendors and client.
- Track delivery schedules and ensure prompt procurement of required materials for ongoing project activities.
- Oversee maintenance coordination by scheduling service appointments.
- Communicate with maintenance teams to verify completion of maintenance tasks and support project continuity.
