Office Manager / Administrator

Digital Fire & Security Services Inc. — Markham, ON (In Person)
Full-Time, Permanent · Monday–Friday · $55,000–$75,000/year + overtime pay

Who we are

Digital Fire & Security Services is a well-established, fast-growing fire-protection firm. We design, install, inspect, and maintain fire-alarm and life-safety systems for buildings across the Greater Toronto Area and beyond. As we expand, we're looking for an organized, dependable Office Manager/Administrator to keep our operations running smoothly and support our executive team.

What you'll do

Office & administration

Answer and direct incoming calls and manage the day-to-day needs of the office
Maintain and track the team calendar; schedule meetings and appointments
Plan and coordinate company events and meetings as needed
Arrange domestic and international travel

Finance & invoicing

Manage day-to-day invoicing, accounts payable, and accounts receivable
Accounts Payable: enter invoices and expenses for approval by the controller
Accounts Receivable: issue client invoices and follow up on payment schedules
Assist with banking, bookkeeping, and other financial activities

Executive & team support

Directly support the executive management team and manage their agendas
Support the technical team with document control and contract administration
Maintain accurate records and administrative controls

What we're looking for

2+ years of administrative or office-management experience
Hands-on experience with invoicing, accounts payable, and accounts receivable (required)
Working knowledge of bookkeeping; familiarity with accounting software (e.g., QuickBooks) is a strong asset
Proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint) and strong keyboarding
Exceptional customer-service skills and a high level of integrity
Strong organization, time management, and written/verbal communication
A self-starter who works well both independently and across teams
College diploma or bachelor's degree preferred
English required; able to reliably commute to Markham, ON L3R 5J8
