We are seeking a Senior Administrative Assistant to support our Regina City Area Office in Regina. This is an opportunity to use your administrative expertise while helping provide access to justice for our clients navigating complex legal processes. Reporting to the Administrative Staff Manager, you will play a key role in the day-to-day operations of our Regina City Area Office. You'll work alongside lawyers, providing high-level administrative support while interacting with clients from diverse cultural and linguistic backgrounds. Our Senior Administrative Assistants earn from $51,916 and based on combination of education and experience up to $68,571 annually. In addition to your competitive salary, our generous and comprehensive benefit package includes employer’s paid extended health & dental family coverage; paid sick time; three weeks of paid vacation at the start, plus scheduled or earned days off (12 SDOs or 26 EDOs per year for support staff and 12 SDOs per year for lawyers); 14 Statutory holidays; pension match 6.35%; relocation assistance if applicable and more. Key Responsibilities

Under the supervision of the Administrative Manager or the Legal Director, the Senior Administrative Assistant will assist in the oversight and delivery of administrative services for the office including:

Provide expert level support to staff, lawyers, and managers in all areas of administrative services such as
- Reception
- File set-up, maintenance, and closing
- Casefile distribution and farm outs
- Document management (formatting, producing, and organizing all forms and documents in criminal and family law) in organizational database/file management systems (such as LAIN)
- Running standard reports from LAIN and other databases and act on them as appropriate.
Manage stocks of office supplies and order as necessary (or delegate to other staff in the office)
Train and mentor new administrative staff
Oversee management of records at office (including archiving and destruction)
Act as an Occupational Health and Safety committee member or representative
Under direction of the Legal Director, assists with clients at Court, if operationally needed
Maintain current understanding of criminal and/or family law and its practice.
Provide orientation and training to co-workers.
Act for Administrative Manager during vacations or other absences.
The position includes contacts with clients, justice system partners, and other members of the public which involve the explanation and interpretation of policies, procedures, acts and regulations.
Contact may extend to the determination of the appropriate action as a result of the contact or the determination of alternate courses of action. The position often acts as the liaison for the office to Head Office.
Other administrative tasks as assigned (including such tasks as accounting backup)

Position Requirements

High school graduation and two years of relevant post-secondary education, or an equivalent combination of education and experience
Ability to operate switchboard equipment, type, word process, and create and manipulate spreadsheets
Minimum of four years of previous related experience in legal administrative roles
General knowledge of the practice of law.
Excellent verbal and written communication skills
Strong organizational and time-management skills
In-depth understanding of office management and daily operations
Proficiency with Microsoft 365.
The ability to work independently while managing multiple priorities with accuracy and professionalism.
