Position Summary:
Reporting to the Senior Manager, PIC, the Planning Coordinator will support project execution, capital planning, and process improvement across the organization. This role focuses on coordinating initiatives, analyzing data, and standardizing processes to improve operational efficiency.
The Planning Coordinator will work closely with cross-functional teams to track progress, support capital investment activities, and develop documentation and tools that enable consistent and effective execution.
Hours: 7.5 hours Monday-Friday.
Key Responsibilities:
Project Planning and Coordination:

Coordinate projects from initiation through closure, ensuring timelines, milestones, and deliverables are met.

Structure project plans, conduct research, and support problem-solving initiatives.
-
Track progress, identify risks, and ensure timely delivery of projects.
-
Collaborate with cross-functional teams (logistics, operations, finance, compliance) to align objectives.
-
Manage project documentation and communication across departments.
Capital Planning and Management:
-
Collaborate with stakeholders to develop capital investment proposals and capital budgets aligned with company strategy.

Consolidate capital requests from different departments and prepare documentation for internal approval processes.
-
Assist in preparing and submitting capital investment proposals to HQ for approval.
-
Monitor implementation of capital projects against approved budgets and timelines.
Data Analysis:

Gather and consolidate quantitative and qualitative data (surveys, interviews, process reviews).
-
Analyse data using advanced Excel tools (Pivot Tables, advanced formulas); knowledge of SQL is an asset.

Interpret results to identify trends, bottlenecks, and improvement opportunities.

Develop clear reports and summaries to support data-driven decision-making.
Presentation & Communication:

Create polished and visually compelling presentations using PowerPoint to communicate findings, strategies, and project progress to leadership.

Provide clear and concise updates to stakeholders.
-
Develop and publish company newsletters to communicate updates and initiatives.
-
Manage and maintain social media channels to support communication and engagement.
Process Documentation & Standardization:

Develop and maintain SOPs and instruction sheets.
-
Create and manage templates to standardize procurement and approval processes.
-
Design process flows and workflows using Microsoft Visio.
-
Develop and implement signage to support safety, workflow clarity, and operational efficiency.
QUALIFICATIONS:
Education: Bachelor’s degree in business administration, Industrial Engineering or Design in a related field.
Experience: 3-5 years of experience in planning, project coordination, process improvement, or operations. Experience working in logistics, supply chain, or a fast-paced operational environment is an asset.
Technical Skills:

Budgeting, general ledger management and validation.

Advanced Microsoft Excel (Pivot Tables, Power Query, advanced formulas).

PowerPoint (executive-level presentations and storytelling).

Microsoft Visio (process mapping, workflow diagrams).

Experience working with ERP systems (e.g., SAP) is an asset.

Knowledge of SQL is an asset.

Knowledge of AutoCAD is an asset.
