Organization Background:
Niagara Ina Grafton Gage Village (the “Village”) is a not-for-profit charitable organization that has been providing housing and services to seniors for over 60 years. The organization encompasses two sites; the main location in the City of St Catharines has been operating since 1959 and the newer facility, Stone Road Village in the Town of Niagara-on-the Lake, has been in operation since 2012. Combined, these two sites provide housing to more than 500 seniors. At the Village, seniors live in either rental, rent-geared-to-income apartments, life lease bungalows or apartments, bedsitter rooms, or long-term care (nursing home). At Stone Road Village, life lease apartments are available for active seniors. The Village is one of the largest providers of services for seniors in Ontario.
Role Objective:
Under the direction of the Manager, Environmental Services, the Guest Services and Environmental Services Assistant will assist with the day-to-day operations and administrative duties of the Environmental Services and Administration department. This position will play an important role in both departments acting as a representative and communication link between the organization and our guests (contractors, residents, staff and visitors). Such duties and responsibilities will be conducted in accordance with the policies and procedures of Niagara Ina Grafton Gage Village (NIGGV) and in a manner that respects the rights and dignity of the staff and clients.
Key Responsibilities:
- Ensure timely follow-up with residents and staff regarding work orders, delivering status updates and obtaining supplemental information as necessary.
- Coordinate and schedule service calls with appropriate contractors, ensuring all relevant parties are informed.
- Monitor and maintain the work request log, ensuring it is updated on a regular basis.
- Generate and distribute memos for staff and residents per the Manager, Environmental Services’ direction, ensuring proper adherence to communication policies and procedures.
- Process and organize paperwork, ensuring documents are properly categorized and stored in alignment with departmental standards.
- Provide front reception coverage for the Communication Administration during meal breaks, scheduled leave periods and emergency situations.
- Receive telephone calls and visitors in a professional, proficient, and friendly manner.
- Maintain, record, and balance petty cash funds.
- Sort and make ready for delivery all incoming mail and packages for Niagara Ina Grafton Gage Village, residents, and other corporate partners; follow mail policies and procedures.
- Sell meal tickets, special function tickets, Village Travel Club tickets; balance cash daily.
- Communicate with staff, residents and clients to convey information in a professional, courteous and knowledgeable manner.
- Minimize liabilities to NIGGV by reporting unsafe or inappropriate situations that require actions to be taken to ensure the safety of everyone in the Organization.
- Adhere to all policies and procedures pertaining to the operation of the Environmental Services Department in regard to infection control; health and safety; emergency response; and confidentiality.
- Perform additional administrative duties as required.
Qualifications:
- Diploma in Office Administration or relevant program or an equivalent combination of both education and proven experience.
- Minimum one (1) year of reception experience preferred.
- Ability to multi-task and maintain productivity with frequent interruptions from phone/clients.
- Demonstrates excellent interpersonal and customer service skills.
- Ability to handle guest interactions in a calm and professional manner, de-escalating tense situations to ensure a positive experience.
- Advanced computer skills, including experience with Microsoft Office suite, including Excel and Word.
- Able to physically perform the duties and responsibilities, as assigned.
- Regular attendance is required.
Special Requirements:
- Previous experience working with seniors is an asset.
