THE POSITION
Legal Administrative Assistant
Iron Maple has offices in Dartmouth, NS and Sussex, NB and currently requires a Legal Administrative Assistant for our New Brunswick office.
Reporting to the Executive Assistant, this role serves as an important point of contact for the office while providing administrative and legal support to the company’s leadership team. The successful candidate will help manage day-to-day front desk operations, coordinate communications with clients, vendors, subcontractors, and visitors, and support the smooth flow of information throughout the office.
In addition to office administration duties, this role will support contract management, legal compliance, document organization, and risk mitigation across construction projects. Duties will also include assisting with the preparation, review, tracking, and filing of contracts, subcontracts, correspondence, legal documents, and project records to ensure documentation is accurate, complete, and aligned with applicable laws and company standards.
This position is based in a construction office environment and involves regular interaction with office staff, field teams, subcontractors, suppliers, clients, and visitors. The ideal candidate is organized, professional, detail-oriented, and comfortable managing shifting priorities in a busy office setting. RESPONSIBILITIES
Legal & Contract Administration
- Assist with the preparation, review, organization, and tracking of client contracts, subcontracts, purchase orders, change orders, and other project-related legal documents.
- Maintain accurate and organized legal, contract, and project files, tracking key dates, required signatures, bonding documents, and compliance requirements.
- Review documents for accuracy, completeness, and consistency with company procedures and applicable project requirements; escalate concerns to the appropriate team member as needed.
- Prepare, format, proofread, and distribute legal correspondence, agreements, forms, reports, meeting notes, and internal documentation.
- Support the development and communication of internal policies, procedures, and templates related to contract management and document control.
Office Administration
- Greet clients, visitors, subcontractors, and suppliers in a professional and welcoming manner, and manage all incoming calls, emails, and general inquiries promptly.
- Receive, sort, and distribute incoming mail, courier packages, faxes, and deliveries; prepare outgoing shipments as required.
- Maintain office supply inventory, place orders as needed, and coordinate service or repairs for office equipment.
- Schedule meetings, prepare meeting rooms, arrange refreshments, and assist with meeting materials and logistics.
- Provide general administrative support including photocopying, scanning, filing, data entry, document formatting, note-taking, and travel arrangements.
- Handle all company, project, and legal information with discretion, professionalism, and sound judgment, and maintain clean, organized reception and common office areas.
QUALIFICATIONS
· College diploma in a Paralegal program is preferred; candidates with a diploma in an Office Administration or Administrative Assistant program are encouraged to apply.
· One to three years of paralegal experience is preferred but not required.
· Knowledge of construction terminology, legal documents, and project filing practices is considered an asset.
· Excellent written and verbal communication skills, with strong interpersonal abilities.
· Strong organizational and time management skills, with attention to detail and the ability to manage competing priorities in a busy environment.
· Proficiency in Microsoft Office Suite, including Word, Excel, and PowerPoint.
