The Position
The Administrative Assistant position provides essential customer service communications and plays a key role in customer satisfaction, brand recognition and company optics. You will be part of a motivated and diverse team and have a high degree of interaction with both customers and employees
Wages: $30.00 per hour
Responsibilities

Creates a welcoming environment by greeting guests, directing visitors, and taking messages for employees

Answers main telephone line and connects caller with appropriate department or individual's voicemail

Provides excellent customer service communications, including providing customers with accurate and timely updates as directed & scheduling reminders

Updates customer account file information

Manages customer complaints or issues with integrity and passes them on to the appropriate department lead or manager

Organizes and files company documents as directed

Coordinates booking and setting up of meeting rooms

Keeps abreast of all internal policy changes to maintain effectiveness in this role

Handles mail, purchasing of supplies & equipment, organizes office layout and maintains office condition & repairs

Coordinates and completes all necessary documentation for business license renewals, insurance, legal requirements and paperwork

Coordinates to order promotional items for BMT Group Services within agreed budgets
-
Works with the management team to order, manage, and distribute company uniforms

Records all meeting notes as directed and produces minutes from various meetings
-
Develops and implements social media strategies to increase brand awareness and engagement
-
Creates and schedules engaging content for various social media platforms
-
Monitors company social media channels for customer inquiries, comments, and reviews

Responds to customer inquiries and comments in a timely and professional manner

Manages and maintains the company website
-
Analyzes social media metrics and provides reports on performance and trends

Collaborates with the management team to align social media efforts with overall marketing goals

Assists with recruitment initiatives by organizing and engaging in career fairs, college/trade school recruitments, and other related events

Stays up to date with industry trends and best practices in social media
-
Completes all other duties as assigned
Knowledge, Skills & Abilities
-
High school diploma is required; completion of an Office Administration certificate or diploma is preferred
-
Minimum 3–4 years of experience in office administration or receptionist roles
-
Knowledge of Office Administrator responsibilities, systems and procedures
-
Experience with working in automotive or transportation industry is an asset
-
Proficiency in MS Office (MS Excel and MS Outlook, in particular)

Familiarity with social media channels and WordPress for websites

A creative mind with an ability to suggest improvements

Excellent time management skills and ability to multi-task and prioritize work

Critical thinking, attention to detail and problem-solving skills

Strong time management, organizational and planning skills in a fast-paced environment

Strong technical skills (Office 365, Word, Excel, PowerPoint, Outlook, WordPress, etc.)

Strong customer orientation with demonstrated ability to multi-task and be able to inspire, work alongside, and engage others

Strong verbal and written communication skills.
