Job Summary

We are seeking a dynamic, compassionate, and highly organized Administrative Assistant to join our Addiction and Mental Health Clinic. In this vital role, you will be the first point of contact for clients, visitors, and community partners while ensuring the smooth day-to-day operation of our office. You will provide exceptional administrative support in a professional, welcoming, and culturally safe environment.

The ideal candidate is detail-oriented, adaptable, and committed to providing respectful, client-centered service. Experience working in addiction and mental health settings and with Indigenous communities is considered a strong asset.

Wage: To be negotiated based on experience.

Responsibilities

Manage front desk operations, including greeting clients and visitors and operating a multi-line phone system with professionalism, discretion, and compassion.
Perform accurate data entry using Microsoft Office, Google Workspace, QuickBooks, and electronic record systems.
Maintain organized physical and electronic filing systems to ensure confidentiality and efficient document retrieval.
Prepare correspondence, proofread documents, generate reports, and update client and administrative databases.
Provide excellent customer service by responding to phone calls, emails, and client inquiries in a respectful and supportive manner.
Coordinate appointments, manage staff calendars, schedule meetings, and assist with clinic operations.
Support administrative functions related to an addiction and mental health clinic while maintaining strict confidentiality and privacy standards.
Be comfortable handling and processing urine drug screening samples in accordance with clinic policies and procedures.
Assist with bookkeeping, office supply management, and other administrative duties as assigned.

Qualifications

Proven experience in an administrative or office support role.
Proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and strong computer skills.
Experience with QuickBooks or similar bookkeeping software is highly desirable.
Excellent data entry, typing, organizational, and time-management skills with strong attention to detail.
Experience operating multi-line phone systems and providing professional customer service.
Strong written and verbal communication skills, including the ability to proofread documents accurately.
Ability to prioritize multiple tasks while working independently and collaboratively in a fast-paced environment.
Comfortable handling urine drug screening samples as part of routine clinic procedures.
Experience working in an addiction, mental health, medical, or community health setting is considered an asset.
Demonstrated ability to work respectfully and effectively within a culturally sensitive environment, particularly with Indigenous clients, families, and communities. Knowledge of Indigenous cultures, histories, and the impacts of intergenerational trauma is considered a strong asset.
Commitment to maintaining client confidentiality, professionalism, and ethical standards at all times.
