Junior Bookkeeper

Part-Time Opportunity | Minimum 24 Hours per Week | Windsor, Ontario | In Person

Position Summary

Windsor Heart Institute (WHI) is seeking a detail-oriented Junior Bookkeeper to support accurate and timely day-to-day financial administration. Working under the direction of the Finance Manager, Controller, or designate, the Junior Bookkeeper will assist with accounts payable and receivable, transaction entry, reconciliations, inventory administration, record maintenance, reporting support, and confidential financial documentation.

The primary work location will be WHI’s Howard Avenue location. However, the successful candidate must be able to commute to other WHI locations as operationally required. This is an excellent opportunity for an early-career accounting professional who values accuracy, organization, service, and continuous improvement.

Key Responsibilities

Enter and maintain financial transactions in the accounting system using accurate coding, dates, references, and supporting documentation.
Process vendor invoices and employee expense submissions, verify approvals and supporting documents, and prepare authorized payments for review.
Assist with accounts receivable, payment posting, deposit records, follow-up documentation, and reconciliation of outstanding balances.
Reconcile bank, credit-card, vendor, and selected general-ledger accounts; investigate discrepancies and escalate unresolved items.
Review inventory and supply needs across WHI locations and assist with maintaining accurate inventory records.
Reconcile invoices, purchase documentation, and delivery records to confirm that quantities, pricing, and items received are accurate.
Identify inventory discrepancies, recurring supply issues, unnecessary costs, or process gaps and make recommendations for supply and inventory improvements.
Learn and effectively use the EZOffice inventory-management system.
Support the implementation and consistent use of EZOffice across WHI locations, including training and assisting off-site staff.
Maintain organized electronic and paper records in accordance with WHI retention, confidentiality, and audit requirements.
Assist with month-end and year-end activities, including schedules, account analysis, accrual support, and document preparation.
Prepare routine spreadsheets and reports and provide documentation requested for audits, budgets, inventory reviews, or management purposes.
Communicate professionally with vendors and internal departments to resolve missing documentation, invoice discrepancies, delivery concerns, or payment questions.
Support payroll-related administration only as assigned and authorized while maintaining strict confidentiality.
Follow internal controls, approval limits, segregation-of-duties requirements, and established finance procedures.
Promptly report unusual transactions, discrepancies, or internal-control concerns.
Protect confidential employee, patient, vendor, banking, and business information.
Travel to other WHI locations, as required, to review inventory processes, support system implementation, and train staff.
Provide general administrative support to the finance function and perform other related duties as assigned.

Qualifications and Skills

College diploma or certificate in accounting, bookkeeping, business administration, or a related field. Equivalent relevant education and experience may be considered.
Foundational knowledge of bookkeeping principles, accounts payable and receivable, reconciliations, and general-ledger concepts.
Proficiency with Microsoft Excel, including formulas, sorting, filtering, spreadsheets, and accurate data entry.
Familiarity with accounting or inventory-management software is an asset.
Ability and willingness to learn easy office and train other employees on its proper use.
High level of accuracy, attention to detail, organization, and follow-through.
Ability to review inventory information, identify discrepancies, and recommend practical process improvements.
Ability to manage deadlines and competing priorities while maintaining complete documentation.
Strong written and verbal communication skills and a professional service orientation.
Sound judgment, discretion, and demonstrated ability to handle confidential information.
Ability to commute to WHI’s Howard Avenue location and other WHI locations as operationally required.
Previous bookkeeping, accounting-clerk, inventory administration, healthcare, or medical-office experience is an asset.

Compensation and Hours

Starting wage: $22.00 per hour.
Part-time position with a minimum of 24 hours per week.
Additional hours may be scheduled based on operational requirements.
The primary work location is WHI’s Howard Avenue location, with travel to other WHI sites as required.
On-site parking is available.
Additional benefits are subject to the terms of the position and WHI eligibility requirements.
