Construction Project Coordinator (ICI Construction)

We are currently seeking a motivated Construction Project Coordinator with ICI construction experience to join our team and support the successful delivery of a large-scale Commercial Projects.
The ideal candidate will have a strong understanding of commercial construction practices, excellent organizational skills, and the ability to coordinate between field operations, subcontractors, consultants, and project stakeholders.
Key ResponsibilitiesProject Coordination & Documentation
- Coordinate and track project activities, schedules, and deliverables.
- Maintain and organize project documentation, including drawings, RFIs, submittals, change orders, meeting minutes, and project correspondence.
- Assist with project administration and reporting requirements.
- Prepare and distribute meeting agendas, minutes, and progress updates.
- Support project close-out activities, including as-built drawings, O&M manuals, and turnover documentation.
Field Support & Scope Review
- You many conduct regular site visits to review construction progress and scope completion. However, the role will be in our Oshawa Office.
- Assist project teams with identifying scope gaps, deficiencies, and potential issues.
- Verify quantities, track progress, and support field documentation requirements.
- Ensure work is performed in accordance with project drawings, specifications, and quality standards.
- Facilitate communication between site and office teams to ensure accurate project records.
Construction Management Support
- Review drawings, specifications, contracts, and tender documents.
- Assist with RFIs, submittals, procurement activities, and change management processes.
- Coordinate subcontractor and supplier documentation, including insurance certificates, WSIB clearances, and contract compliance requirements.
- Support cost tracking, forecasting, monthly progress draws, and project reporting.
- Attend site meetings, coordination meetings, and client meetings as required.
Team Collaboration
- Work closely with Project Managers, Site Supervisors, consultants, subcontractors, and clients.
- Maintain professional and effective communication with all project stakeholders.
- Contribute to a collaborative, positive, and safety-focused work environment.
Technology & Systems
- Utilize construction management software such as Procore or similar platforms.
- Maintain accurate project records using Microsoft Office applications.
- Assist with schedule updates using MS Project or other scheduling software.
Qualifications
- Diploma or degree in Construction Management, Civil Engineering, Architecture, Engineering Technology, or a related field.
- 2+ years of experience in ICI, commercial, or industrial construction.
- Experience working for a general contractor is preferred.
- Strong ability to read and interpret construction drawings and specifications.
- Familiarity with project coordination, RFIs, submittals, change orders, and contract administration.
- Proficiency with Microsoft Office (Excel, Word, Outlook).
- Experience with Procore or similar project management software is considered an asset.
- CET designation or working toward certification is an asset.
- Automotive, manufacturing, or industrial project experience is preferred.
- Strong organizational, problem-solving, and communication skills.
- Ability to manage multiple priorities in a fast-paced construction environment.
