Acerta Energy is looking for a detail-oriented and highly organized Field Operations Administrator to support our Operations team in Carstairs, Alberta. This full-time role plays an important part in invoice processing, cost tracking, OpenInvoice administration, reporting, and day-to-day operational support. This is an in-person position working out of our Carstairs field office.
You will work closely with field operations, accounting, vendors, and service providers to help ensure operational and financial activities are completed accurately, efficiently, and on schedule. This position is well suited to someone who enjoys working with detailed information, managing multiple priorities, and supporting a busy operations team in a dynamic industry environment.
Responsibilities
- Process, review, and track field-related invoices, ensuring accurate coding, approvals, and timely submission.
- Administer OpenInvoice workflows, support vendors, and monitor invoice queues and reporting.
- Assist with AFE administration, cost tracking, budget monitoring, and preparation of expenditure reports.
- Provide administrative support to field operations, including records management, reporting, and coordination of operational documentation.
- Support compliance, internal controls, and process improvement initiatives.
- Assist with HSE reporting, training records, document control, and preparation of safety-related materials.
- Assist with maintenance reporting, work order tracking, and maintenance-related information filing.
- Maintain accurate administrative records, filing systems, and supporting documentation for operational, financial, and compliance-related activities.
- Coordinate with internal stakeholders and external vendors to resolve invoice discrepancies, obtain supporting information, and keep documentation current.
- Prepare and organize regular reports, summaries, and operational information to support field leadership and internal decision-making.
Qualifications
- Post-secondary education in Business Administration, Accounting, Finance, or a related field is preferred; equivalent experience will be considered.
- 3–5 years of administrative, accounts payable, or operations support experience, ideally in the oil and gas industry.
- Experience with OpenInvoice is strongly preferred, along with knowledge of AFE processes, cost tracking, and accounting systems.
- Strong attention to detail, organization, communication, and time-management skills.
- Proficiency in Microsoft Office, particularly Excel, and the ability to manage multiple priorities in a fast-paced environment.
- Experience working in a field operations, production, or energy-services environment would be considered an asset.
- Ability to handle confidential information with professionalism and maintain accuracy in a deadline-driven environment.
- Self-motivated with the ability to work independently while also contributing effectively as part of a team.
