Job Summary
We are seeking a highly organized and proactive Office Coordinator to oversee daily administrative operations within our office environment. The ideal candidate will possess strong communication and organizational skills, with experience in supervising teams, managing vendor relationships, and handling various clerical tasks. This role is vital in ensuring smooth office functioning, supporting team management, and maintaining efficient workflows across departments.

Responsibilities

Oversee front desk operations, including multi-line phone systems and visitor management
Supervise administrative staff and coordinate team activities to ensure productivity
Manage bookkeeping, payroll, and human resources functions using QuickBooks and other relevant software
Handle vendor management, including procurement and contract negotiations
Maintain filing systems and ensure proper documentation for all office activities
Assist with budgeting, expense tracking, and financial reporting
Support training and development initiatives for staff members
Ensure adherence to office policies, procedures, and phone etiquette standards
Coordinate scheduling of meetings, appointments, and events
Perform general administrative duties such as data entry, correspondence, and report preparation

Requirements

Proven experience in office administration or related roles with strong clerical and organizational skills
Supervising experience or team management background preferred
Proficiency in QuickBooks, Microsoft Office Suite, and multi-line phone systems
Experience with bookkeeping, payroll processing, vendor management, and budgeting processes
Excellent communication skills—both verbal and written—along with professional phone etiquette
Strong organizational skills with the ability to multitask effectively in a fast-paced environment
Prior experience in human resources functions or training & development is a plus
Office experience including filing systems and general administrative support required
Ability to work independently with minimal supervision while collaborating effectively within a team

Pay: $36.00 per hour

Work Location: In person
