Role Summary
The Product Operation Coordinator is responsible for coordinating the end-to-end product operation process from order confirmation to production, shipment, and delivery readiness. This role acts as the key liaison between internal teams, suppliers, factories, and logistics partners to ensure the smooth execution of new collection launches and replenishment orders.
The role requires strong organizational skills, timeline management, and close follow-up on production status, inventory coordination, replenishment support, quality control, and delivery schedules to support retail, online, and wholesale operations. The position is heavily involved in PO management, supplier communication, production coordination, and inventory readiness.
Key ResponsibilitiesProduct & Order Operations
- Coordinate daily product operation workflow for both new collections and replenishment programs
- Manage purchase order (PO) issuance and follow up with factories and suppliers
- Track production schedules and ensure orders are delivered according to timeline requirements
- Monitor order status, production progress, and shipment arrangements
- Maintain accurate order records, costing, and delivery schedules
Inventory & Replenishment Support
- Assist in monitoring inventory levels across retail, online, and wholesale channels based on management direction
- Support replenishment coordination and stock allocation to maintain healthy inventory levels
- Prepare inventory updates and replenishment reports for internal review
- Coordinate with warehouse and logistics teams to support stock readiness and timely replenishment
- Support inventory accuracy and product availability across channels
Supplier & Factory Coordination
- Act as the primary liaison between internal teams and external suppliers/factories
- Communicate production requirements, timelines, and quality expectations clearly with vendors under the guidance of management and Merchandising Co-Lead
- Follow up proactively on potential production delays or shipment risks and escalate issues when necessary
Production & Quality Control
- Coordinate QC processes and ensure products meet company standards before shipment
- Monitor production readiness and resolve operational issues during manufacturing
- Support sample review and product readiness for launches
Logistics & Delivery Management
- Coordinate shipment schedules with factories and logistics partners
- Ensure delivery timelines align with launch schedules for retail, online, and wholesale channels
- Work closely with warehouse and inventory teams to support stock arrival and replenishment readiness
Cross-Functional Collaboration
- Work closely with Design, Retail, Marketing, and Management teams throughout the product lifecycle
- Support collection launch preparation and replenishment planning execution
- Provide operational updates and production status reports to management regularly
- Provide operational, coordination, and administrative support to management and internal teams as required
- Assist with ad hoc office administration and cross-functional operational tasks when necessary
Requirements
- 2+ years of experience in merchandising, production coordination, sourcing, or product operations
- Strong organizational and multitasking skills with attention to detail
- Ability to manage timelines and coordinate multiple projects simultaneously
- Excellent communication and supplier management skills
- Experience in fashion, accessories, retail, or consumer products industry preferred
- Familiarity with production workflow, logistics, and inventory coordination is an asset
- Proficient in Excel, Google Sheets, and order tracking systems, PLM system.
