JOB SCOPE
The Payroll Coordinator is responsible for coordinating and supporting payroll administration activities to ensure employees are paid accurately and on time while maintaining compliance with applicable federal/provincial legislation and internal policies. This role supports payroll inputs and controls, maintains confidential payroll records, assists with statutory remittances and year-end reporting, and serves as a key point of contact for employee payroll inquiries across multiple provinces.
JOB RESPONSIBILITIES
- Coordinate scheduled bi-weekly payroll cycles, ensuring accurate calculation of wages, overtime, premiums, statutory holiday pay, vacation pay, bonuses, retro pay, and taxable benefits
- Collect, validate, and coordinate payroll changes (new hires, terminations, salary changes, banking changes, status changes, leaves of absence) and ensure required approvals are obtained
- Maintain and update employee payroll master data and supporting documentation in the HRIS/payroll system; ensure data integrity and audit trails
- Assist with calculating and verifying statutory deductions and employer contributions (e.g., income tax, CPP/QPP, EI/QPIP where applicable) and reconciling payroll registers to remittances
- Coordinate payroll remittances and third-party payments (e.g., garnishments, union dues, pension/benefit premiums) in accordance with deadlines and agreements
- Prepare and submit employment-related forms as required, including Records of Employment (ROEs) and other jurisdictional documentation
- Support year-end activities, including preparation and distribution of tax slips (e.g., T4/T4A and RL-1 where applicable) and related reconciliations
- Assist with reconciling payroll-related general ledger accounts; investigate and help resolve discrepancies, overpayments, and underpayments; process adjustments and off-cycle payments as required
- Prepare regular and ad hoc payroll reports for HR/Finance (e.g., labour costing, headcount, accrual support, and variance reporting)
- Respond to employee inquiries regarding pay, deductions, benefits, and payroll policies in a timely, confidential, and service-oriented manner
- Ensure payroll processes comply with applicable legislation, collective agreements (where applicable), and internal controls; support audits and provide required documentation
- Contribute to continuous improvement of payroll procedures, documentation, and system configurations; support system testing and upgrades as needed

JOB REQUIREMENTS
Qualifications Required:
- Post-secondary diploma or degree in Accounting, Finance, Business Administration, Human Resources, or a related field (or equivalent combination of education and experience)
- 2+ years of payroll coordination or payroll processing experience in a fast-paced environment (multi-site or multi-province experience is an asset)
- Working knowledge of Canadian payroll legislation and practices, including statutory deductions, remittances, and record-keeping requirements
- Experience with payroll/HRIS systems (e.g., ADP, Workday) and strong proficiency with Microsoft Excel
- Demonstrated attention to detail, strong numerical aptitude, and ability to meet strict deadlines
- Strong communication and customer service skills, with the ability to explain payroll items clearly and professionally
- Proven ability to handle sensitive/confidential information and comply with privacy requirements
- Payroll Compliance Practitioner (PCP) designation is an asset or actively being pursued through the National Payroll Institute
- Proficient in Microsoft Office (Word, Excel, PowerPoint)
- Responsible and self-motivated
- Excellent organization, problem-solving, and time management skills; capable of working independently across multiple sites.
- Able to obtain Transport Canada clearance for security pass (RAIC) to work at the airport.
Preferred Qualifications:
- Experience processing payroll in Québec (e.g., QPP/QPIP, RL-1) and/or other multi-jurisdiction payroll requirements
- Experience supporting unionized environments and applying collective agreement provisions to payroll
- Experience with GL interfaces, labour costing, and payroll reconciliations in partnership with Finance
- Experience with process improvements, audits, and system testing
- Bilingual English & French (spoken & written)
Working Conditions:
- Office environment with minimal exposure to adverse conditions.
- Monday-Friday, Hybrid 1 day home/week
