Job Overview
The Administration Lead will be responsible for providing administrative support to the Office Supervisor & Executive Director. Candidates will be well organized, possess strong attention to detail, possess strong communication skills with the ability to manage a wide variety of responsibilities and be able to prioritize tasks.
The Administration Lead is a 40-hour week, Tuesday – Saturday; 9:30am – 6:00pm, with some flexibility to support fundraising and community events evenings and weekends.
Position Responsibilities:
· Oversee regular office tasks to administrative staff as appropriate, including:
o Maintenance of shelter phone, AV equipment and security system
o Staffing and program scheduling of Education Programs & Birthday Parties
o Staffing and program scheduling of Public Dog Training, Canine Behaviour offerings, PACE Program, & Off Leash Parks
· Reconcile daily cash and cheques received & prepare and make regular bank deposits
· Ensure timely and accurate donor and sponsor entries, thank you letters/communication and tax receipts
· Provide administrative support for all donor related items such as data entry, month end reconciliation & more.
· Make applications for;
o Liquor, Special Event Insurance, Raffles etc.
· Provide administrative support to all CAHS programming, events, fundraisers, grants and the Annual General Meeting
· Complete necessary cross training to support & provide coverage for reception, adoptions, and animal intakes
· Act as the administrative lead on Saturdays to support reception, adoptions & birthday parties & admin
· Post and keep current career opportunities on CAHS website and appropriate hiring platforms
· Provide administrative support for all aspects of donor appeal campaigns
· Handle other administrative tasks as requested
· Complete all mandatory training
· Conduct oneself in a professional and courteous manner at all times while working as an employee of the Cochrane & Area Humane Society
· Communicate animal related health and behavioural concerns and any occupational hazards to the Office Supervisor in a timely manner
· Help maintain a positive, engaging, and supportive volunteer and foster experience
· Maintain professionalism in all interactions with staff, volunteers, fosters, and the public
· Promote CAHS values in all areas of work and interaction
· Support the CAHS Strategic Plan and Work Plan, adhering to shelter policies
Qualifications and Skills:
· Strong interpersonal and organizational skills, attention to detail and willingness to adhere to good standards of operational procedures, productivity and time management
· Advanced computer skills with proficiency in the use of Excel, Word and Outlook
· Experience using Sumac, Acuity and Quickbooks preferable
· Supervisory experience an asset
· Strong ability to multi-task and shift priorities throughout the workday
· Excellent written and verbal communication skills
· Ability to work closely with other staff, volunteers and the public in a positive, practical manner
· Valid Alberta Driver’s License and a clean driving abstract
· Genuine concern for the welfare of animals
Evaluation:
The Office Supervisor will evaluate the performance of the Administration Lead within the first year of employment at three months, six months and yearly thereafter as per the Performance Management System.
