We are looking for a highly organized, customer-focused Dispatcher / Customer Service Coordinator to join our busy heating and cooling team.

Position Summary

Lancaster Heating & Cooling Inc. is seeking a dependable and detail-oriented Dispatcher / Customer Service Coordinator to support the daily scheduling and coordination of HVAC service calls, maintenance appointments, installations, and technician dispatching.

This is a fast-paced role that requires excellent communication, strong organization, the ability to prioritize changing demands, and a calm, professional approach when dealing with customers, technicians, and internal team members.

The successful candidate will be responsible for answering customer calls, booking appointments, dispatching technicians, updating schedules, communicating job details, and ensuring service calls are handled efficiently and professionally.

Key Responsibilities

· Answer incoming phone calls and respond to customer inquiries in a professional and courteous manner.

· Schedule and coordinate service calls, maintenance appointments, estimates, and installation-related appointments.

· Dispatch HVAC technicians based on availability, skill set, location, urgency, and job requirements.

· Prioritize emergency service calls and adjust schedules as needed throughout the day.

· Communicate clearly with technicians regarding job details, customer concerns, access instructions, parts requirements, and schedule changes.

· Keep customers informed regarding appointment timing, technician arrival windows, delays, and follow-up requirements.

· Accurately enter customer information, job notes, appointment details, and service updates into the company system.

· Monitor daily schedules to ensure technicians are assigned efficiently and routes are organized effectively.

· Coordinate with service managers, installers, sales staff, and administrative team members to support smooth daily operations.

· Follow up on incomplete calls, return visits, parts orders, maintenance agreements, and customer requests.

· Assist with preparing work orders, invoices, estimates, and service documentation as required.

· Help maintain accurate customer records, service history, and equipment information.

· Support seasonal call volume during busy heating and cooling periods.

· Provide excellent customer service while representing Lancaster Heating & Cooling in a professional manner.

Qualifications

· Previous dispatching, customer service, scheduling, or administrative experience is preferred.

· Experience in HVAC, plumbing, electrical, construction, trades, or a service-based business is considered a strong asset.

· Strong phone etiquette and customer service skills.

· Ability to manage multiple calls, schedules, and priorities in a busy environment.

· Comfortable using computers, scheduling software, email, and Google Workspace.

· Strong attention to detail and accurate data-entry skills.

· Ability to remain calm, professional, and solutions-focused under pressure.

· Strong verbal and written communication skills.

· Ability to work independently and as part of a team.

· Knowledge of Hamilton and surrounding service areas is considered an asset.

· Experience working with technicians, installers, or field staff is considered an asset.
