Nature of the Work & Responsibilities

NATURE OF THE WORK:

The principal and customary responsibilities of the incumbent in this classification are to perform various technical administrative tasks. They provide support to administrative staff and to users of the relevant department or service.

RESPONSIBILITIES:

Scheduling & Coordination of non-credit activities:

Create and schedule non-credit activities ensuring that all information is accurate and updated in the various systems (e.g. MIA, website);
Liaise between CECS and IT concerning non-credit requirements for software, hardware and online course registration system (MIA);
Research and make recommendations for capital/software/hardware purchases, when required;
Maintain and ensure critical path for non-credit course offerings;
Research and make recommendations for new non- credit courses;
Assign instructors to course sections for non-credit activities;
Support online course registration system (MIA); recommend updates and resolve problems.

Testing Center:

Liaise with CCIP and manage the CCIP portal (creation, validation, session closure, and documentation upload);
Oversee student registrations, ensure all documents are complete, and follow up on missing information;
Schedule evaluators, labs, and invigilators for testing sessions;
Manage invoicing and day-of registration activities.

Service Quebec:

Liaise with Service Quebec and recommend SQ course offerings;
Follow up on activities related to SQ entente.

Other Duties:

Provide technical support during the budgeting process;
Verify that financial transactions are assigned to appropriate budgets;
Prepare reports (e.g. statistical analysis), as needed;
Recommend capital budget purchases and prepare capital budget requisitions;
Perform any other related duties as requested by the supervisor.

Qualifications & Conditions

QUALIFICATIONS:

In the administration field, have a diploma of college studies (DEC) with an appropriate specialty or an attestation of studies which is recognized as equivalent by the competent authority.

CONDITIONS:

Demonstrates initiative and able to work well in a team as well as autonomously
Excellent analytical skills with a proven ability to problem-solve
Basic accounting knowledge
Intermediate knowledge of Word and Excel (testing may be required)
Advanced communication skills in English (oral and written) (testing may be required)
Intermediate communication skills in French (oral and written) (testing may be required)
Ability to do basic computer troubleshooting
Knowledge of one or more of the following is an asset: Dreamweaver, Adobe software, AutoCAD, SolidWorks, animation software, and HTML
