MetricAid builds physician scheduling software that hospitals rely on. Our demand-aligned, preference-based scheduling reduces patient wait times and physician burnout — the schedule we produce every night decides who is standing in an emergency department tomorrow. We're a small, senior team supporting hospitals and physician groups across several countries, in a period of real growth. That growth is exactly why this role exists: our executives are spending time on coordination that should be spent on strategy.
The Role
We're looking for a highly capable, organized and discreet Executive Assistant to primarily support our CEO, while providing coordinated support to the broader Executive Leadership Team — the Director of Business Development, the Chief Technology Officer, and the Director of Client Services.
This is a high-trust role. You'll anticipate needs, manage competing priorities, exercise excellent judgment, and bring structure to a fast-moving environment. You'll have access to confidential and sensitive information spanning employees, clients, contracts, finances, technology, business strategy and company operations, and handling that well is fundamental to the position rather than incidental to it.
You'll protect the CEO's time, support executive priorities, keep commitments moving forward, and make sure important details don't fall through the cracks. You'll work closely with executives who have different responsibilities and working styles, and you'll be trusted to exercise initiative while knowing when to seek direction rather than assume.
What You'll Do
● Executive support
● Manage the CEO's complex calendar, meetings and scheduling priorities, proactively surfacing conflicts, competing commitments and matters needing attention. ● Coordinate internal and external meetings end to end: agendas, supporting materials, technology and logistics.
● Prepare the CEO and executives for meetings by organizing background information, documents and outstanding decisions.
● Draft, review, format and organize correspondence, presentations, reports, proposals and other executive materials.
● Coordinate travel, conferences, accommodations, itineraries, expenses, invoices and reimbursement documentation.
● Maintain organized executive records, files, templates and shared resources. ● Meeting coordination and follow-through
● Attend selected executive, operational, client, partner and internal meetings. ● Produce accurate notes capturing decisions, next steps and action items. ● Track follow-up items, deadlines and owners, and follow up respectfully to ensure commitments are completed.
● Identify stalled items, missing information or approaching deadlines and escalate them appropriately.
● Support executive leadership, board, committee and strategic planning meetings. ● Communication and relationships
● Serve as a professional point of contact between the CEO, executives, employees, clients, partners, board members and external stakeholders.
● Triage incoming requests — what needs immediate attention, what can be delegated, what can be scheduled.
● Draft communications that reflect the executive's voice, purpose and intended tone. ● Handle sensitive inquiries professionally without overstepping authority or sharing information unnecessarily.
● Coordinate information across executives while respecting role-based access and confidentiality requirements.
● Business and operational coordination
● Support strategic initiatives, special projects and company-wide priorities. ● Maintain executive dashboards, action logs, project trackers and reporting calendars. ● Support preparation for client meetings, demonstrations, conferences, contract discussions, onboarding initiatives and internal reviews.
● Coordinate materials and timelines for proposals, reports, presentations, board packages and leadership updates.
● Conduct preliminary research to support executive decision-making. ● Help standardize executive processes, templates, meeting practices and document-management systems.
What You Bring
● Significant experience supporting a CEO or senior executive, preferably in a fast-paced, growing, or highly regulated organization.
● Demonstrated ability to support multiple executives with competing priorities. ● Exceptional organizational, prioritization and time-management skills. ● Strong written and verbal communication, and the judgment to match tone to audience.
● Proven ability to manage confidential and sensitive information with discretion. ● Advanced proficiency with both Google Workspace (Gmail, Calendar, Drive, Docs, Sheets, Slides, Meet) and the Microsoft Office suite (Outlook, Word, Excel, PowerPoint). We work in both day to day, so genuine fluency in each matters. ● Comfortable joining and coordinating customer meetings on Microsoft Teams and Google Meet, whichever the client prefers.
● Experience coordinating meetings, travel, conferences, reports, presentations and executive correspondence.
● Strong attention to detail and the ability to produce accurate, polished work. ● Ability to work independently, anticipate needs and move work forward with limited direction.
Nice to Have
● Healthcare, technology, professional services, or another privacy-sensitive environment.
● Experience supporting boards, committees, contracts, HR processes or strategic projects.
● Experience in an organization going through rapid growth or significant change.
What Success Looks Like
● The CEO's calendar, priorities and commitments are proactively managed. ● Executive meetings are well prepared, purposeful, and followed by clear next steps. ● Deadlines and action items are consistently tracked through to completion. ● Executives spend less time on administrative coordination and more on strategic priorities.
● Communications and materials are accurate, polished and on time. ● Confidential information is handled appropriately and securely. ● The Executive Leadership Team has greater visibility into priorities, decisions, risks and outstanding work.
● You become a trusted and dependable extension of the CEO and the leadership team.

This role sits close to information that is private, sensitive, privileged or commercially confidential — HR and employee matters, client and prospective-client information, contracts and pricing, financial performance, security and privacy matters, board discussions, and organizational change. Strict confidentiality is a condition of the role, during and after employment.
We're looking for someone who understands that proximity to a confidential conversation is not authority to share, interpret or act on it, and who will seek direction when priorities conflict or authority is unclear rather than make assumptions.

Priorities shift, because hospitals shift. We'd rather you respond well to that than pretend it won't happen.
Compensation & Benefits
● $60,000 – $70,000 per year, commensurate with experience
