About the Role
We're an established, patient-focused dental practice in an exciting phase of growth, looking for a Practice Manager who lights up at the idea of bringing structure, energy, and leadership to the whole operation — from the front desk to the operatories.
Let's be upfront: this is not a "keep the schedule full" role, and that's exactly what makes it fun. You'll build and run real systems — documented processes, disciplined billing and collections, structured training, and clear numbers reviewed every week. Your wins will be visible and measurable: collections performance, schedule efficiency, team retention, and a practice that hums along beautifully even when you're not standing in the room.
The right person is a natural problem-solver, a calm presence under pressure, and someone who genuinely enjoys creating an organized, positive, high-performing clinic environment.
And here's the part we're genuinely excited about: you don't need to come from dentistry. If you're an exceptional manager who has led teams, implemented SOPs, and personally owned KPIs, we'll gladly teach you the dental side. We'll happily train a brilliant manager — what we can't train is drive, organization, and a love of numbers. The bar is the same for everyone: a dental background earns you a faster start, not a lower standard.
What You'll Own
- Daily front desk and office operations — scheduling, patient flow, patient records, and turning cancellations into recovered production
- Billing, collections, and recalls — we'll train the dental-specific mechanics (insurance claims, dental software); the habit of owning and improving numbers must already be yours
- A weekly KPI rhythm you'll come to love: production, collections, A/R, no-shows, new patients — tracked, reported, acted on
- Building and maintaining SOPs — then watching the team actually run on them, because you trained and audited them well
- Hiring, structured onboarding, training, and genuinely developing administrative and clinical team members
- Coordinating with dentists, hygienists, assistants, patients, insurance companies, and vendors
- Supplies, expenses, and basic financial reporting
- Privacy, safety, infection-control documentation, and office policies — done right, every time
- Handling patient concerns with warmth and professionalism, and protecting patient-experience standards, glowing reviews, and reactivation programs that bring people back smiling
Who We're Hoping to Meet
Every candidate — with or without dental experience — should be able to show, with real stories:
- You've led and developed a team — not just supervised shifts, but actually helped people grow
- You've built or implemented SOPs and found a way to get people to genuinely follow them
- You're truly number-savvy — you've improved a KPI and can share the before-and-after figures with pride
- You're exceptionally organized — the person who builds the checklist, not the one who asks for it
- You learn fast and love it — you can point to a time you mastered an unfamiliar domain quickly
Non-negotiables for all candidates:
- Calm, structured problem-solving under pressure — you're the steady one when the day gets busy
- Comfortable with software, spreadsheets, and dashboards — and genuinely at ease being measured by the numbers you own
- Professional, dependable, positive, and patient-focused
- Able to work in person, full-time
Dental office management experience and Open Dental (or similar) are fantastic assets and will absolutely accelerate your start — but they don't replace the list above. Years in a dental office without the systems, leadership, and numbers discipline won't be the right fit.
