About the Role

Our client is seeking a detail-oriented and organized Accounting Administrator to support financial and accounting operations within a construction environment. This role requires strong technical accounting skills, accuracy in data management, and the ability to effectively coordinate with internal teams and external stakeholders.

The successful candidate will be responsible for managing invoicing, tracking receivables, supporting financial reporting, and maintaining compliance with project and contractual requirements. This role plays a key part in ensuring smooth day-to-day financial operations and overall office efficiency.

Key Responsibilities

Prepare, review, and issue client invoices, including progress billings.
Monitor accounts receivable and actively manage collections and payment tracking.
Perform daily cash monitoring and complete regular bank reconciliations.
Maintain accurate financial records and ensure data integrity within accounting systems.
Process project-related data, including change orders, and ensure alignment with contract values.
Assist in the preparation of monthly financial statements and internal reporting.
Process payroll for the team, ensuring accuracy of hours, deductions, and direct deposits.
Support year-end processes, including T4 preparation, filing, and distribution.
Maintain organized contract files, including subcontracts and legal documentation.
Coordinate project insurance certificates, statutory declarations, and WSIB/WCB compliance requirements.
Track warranties and support project close-out documentation.

Qualifications

This role requires experience with construction accounting practices, including holdbacks, progress billing, and statutory declarations.
Minimum 3+ years of accounting or bookkeeping experience, within construction or trades required.
Proficiency with Jonas Premier (or similar construction ERP software) strongly preferred.
Strong understanding of accounting principles and financial processes.
Ability to manage multiple priorities in a fast-paced environment.
High level of accuracy, attention to detail, and organizational ability.

Skills & Software

Advanced proficiency in Microsoft Excel and Microsoft Word.
Experience with Jonas Software and related tools (e.g., ISN) is highly desirable.
Strong analytical and problem-solving skills.
Excellent organizational and time management abilities.
Ability to work independently and meet tight deadlines.
Strong written and verbal communication skills.

Work Environment

Office-based role within a construction or project-driven environment.
