Role Summary
We are hiring a Junior Bookkeeper / Accounting Assistant to support day-to-day finance operations, bookkeeping, transaction review, reconciliations, documentation, cost tracking, and recurring reporting.
This entry-level role is ideal for someone with basic accounting knowledge, strong Excel skills, high attention to detail, and willingness to learn hands-on accounting operations. The role will involve working with invoices, receipts, vendor bills, internal approvals, purchasing records, accounting exports, Excel trackers, and QuickBooks Online, with some exposure to CAD/USD multi-currency activity.
The position will also support inventory-related tracking, product cost support, purchasing/sales summaries, and margin support schedules as assigned.
Responsibilities
1) Bookkeeping & Transaction Support
- Review and organize invoices, receipts, vendor bills, approvals, purchasing records, and other supporting documents
- Support accurate coding and classification of expenses, vendor costs, revenue, and related transactions
- Assist with entering, reviewing, and maintaining transactions in QuickBooks or related accounting records
- Check for missing information, duplicate entries, incorrect coding, and documentation gaps
- Coordinate with internal teams to obtain missing documents or clarify transaction details
2) Reconciliations & Month-End Support
- Assist with month-end close using established templates and checklists
- Prepare supporting schedules such as accrual support, prepaid/expense analysis, clearing account support, and other working papers
- Perform basic balance sheet reconciliations and follow up on outstanding items
- Help maintain organized records to support month-end review and reporting
3) Reporting & Excel Trackers
- Prepare and maintain recurring weekly/monthly reports and KPI trackers using accounting exports and internal schedules
- Maintain trackers for revenue, vendor spend, purchasing/sales summaries, and margin support schedules, as assigned
- Support basic variance tracking and investigate data inconsistencies for review
- Help improve reporting templates and standardize recurring trackers
4) Inventory, Cost Tracking & Margin Support
- Support inventory-related tracking for purchased products, equipment, and related project materials
- Assist with matching supplier invoices, freight/shipping costs, duties, brokerage fees, and other direct costs to related products or sales
- Maintain cost tracking schedules for purchasing, product movement, and customer sales, as assigned
- Help prepare margin support schedules by comparing product cost, related expenses, and sales revenue
- Follow up on missing documentation related to product purchases, inventory usage, or cost support
- Support purchasing and sales data review to help ensure product costs and related revenue are properly tracked
5) Multi-Currency Support — CAD/USD
- Support tracking and documentation of CAD/USD transactions and related schedules
- Assist with basic reconciliation support for multi-currency payments and receipts
- Maintain FX support schedules, such as rate trackers, as assigned
- Ensure supporting documents are complete and properly organized
6) Process Improvement & Administrative Support
- Identify process gaps and suggest practical improvements, such as checklists, standardized file naming, or template updates
- Assist with documenting finance procedures and maintaining organized records
- Support other finance, reporting, bookkeeping, or administrative tasks as assigned by the management team
Qualifications
- At least 1 year of bookkeeping, accounting, or finance experience; co-op/internship experience counts
- Basic accounting knowledge, including GL coding, reconciliations, accrual concepts, and balance sheet vs. P&L understanding
- Strong Excel skills, including pivot tables, XLOOKUP/VLOOKUP, SUMIFS, and working with structured templates
- High attention to detail and ability to handle recurring, time-sensitive tasks
- Clear communication skills and ability to follow structured processes
- Willingness to learn, ask questions, and support hands-on day-to-day finance operations
Assets — Nice to Have
- Experience with QuickBooks Online or similar accounting software
- Exposure to AP/AR, vendor invoices, receipts, bank reconciliations, or month-end support
- Exposure to inventory tracking, product costing, purchasing/sales workflows, or margin support schedules
- Exposure to multi-currency transactions, especially CAD/USD
- Interest in CPA or related professional development
