Role Purpose
We are seeking a detail-oriented and organized Accounting Clerk to join our finance team. The ideal candidate will support various accounting functions, including data entry, account reconciliation, and processing financial transactions. This role offers an excellent opportunity to develop expertise in accounting software and financial services within a dynamic organization. The Accounting Clerk will be instrumental in maintaining accurate financial records and ensuring smooth day-to-day operations related to accounts payable, accounts receivable, payroll, and bookkeeping.
Key Responsibilities
Billing, Accounts Receivable, and Collections
- Create, review, and send client bills and invoices accurately and on schedule.
- Support accounts receivable management, including payment tracking and aging review.
- Follow up professionally with clients regarding outstanding balances, payment status, and billing questions.
- Assist with collections follow up and escalation of overdue accounts when needed.
- Post client payments and maintain accurate payment records.
- Review billing details for completeness, accuracy, and alignment with approved services, agreements, or internal records.
- Flag billing discrepancies, missing information, or unusual account activity for review.
Accounts Payable and Vendor Processing
- Receive, review, and enter vendor invoices into accounting systems.
- Match vendor invoices against purchase orders, approvals, and supporting documentation.
- Prepare vendor payments for review and processing.
- Track payment status and assist with vendor inquiries related to invoices, payments, or billing issues.
- Maintain organized records of vendor invoices, receipts, and supporting documentation.
- Identify duplicate charges, incorrect billing, or missing approvals before payment.
Transaction Entry, Reconciliation, and Financial Records
- Enter financial transactions accurately into cloud based accounting systems.
- Support bank, credit card, and account reconciliations.
- Assist with monthly close activities by ensuring records are complete and up to date.
- Maintain organized digital records for receipts, invoices, payment confirmations, and supporting documentation.
- Support expense report review, receipt collection, and reimbursement processing.
- Help ensure financial records are complete, accurate, and audit ready.
Finance Administration and Internal Support
- Manage routine finance requests and tickets, escalating exceptions as needed.
- Support recurring financial reporting, including billing, AR, AP, collections, and licensing related reports.
- Assist with software licensing, recurring charges, and client billing validation.
- Coordinate with internal teams to gather missing billing, purchasing, or expense information.
- Participate in Finance meetings, team check ins, and relevant operational meetings.
- Provide general administrative support to the Finance function as needed.
Communication and Follow Up
- Communicate professionally with clients, vendors, and internal team members.
- Follow up on missing receipts, approvals, invoice details, payment confirmations, and billing questions.
- Maintain clear notes and records for financial actions taken.
- Escalate unresolved issues, exceptions, or approval delays in a timely manner.
Success Metrics
- Client bills and invoices are created and sent accurately and on schedule.
- Accounts receivable records remain current, with overdue items tracked and followed up on consistently.
- Vendor invoices are entered, reviewed, and prepared for payment in a timely manner.
- Receipts, expenses, and supporting documents are complete and organized.
- Reconciliations and transaction entries are accurate, current, and low error.
- Finance requests are handled promptly, with clear communication and appropriate escalation.
- Leadership and the Finance Administrator have reliable visibility into billing, AR, AP, and payment status.
Qualifications Required
- 3-5 years of experience in accounting, bookkeeping, finance administration, or a related administrative role.
- Working knowledge of basic accounting principles, including accounts receivable, accounts payable, reconciliations, and transaction entry.
- Experience creating, reviewing, and sending bills or invoices.
- Strong attention to detail and accuracy in financial records.
- Comfortable using cloud based accounting software and digital recordkeeping tools.
- Clear written and verbal communication skills.
- Ability to follow established processes while identifying errors, gaps, or exceptions.
- Strong organizational skills and ability to manage recurring deadlines.
Nice to Have
- Experience with QuickBooks Online or similar accounting platforms.
- Experience in a Managed Service Provider, technology services, or B2B services environment.
- Familiarity with procurement, purchase orders, expense reports, or software licensing workflows.
- Experience working in a small or scaling business where responsibilities may evolve.
- Diploma or certificate in Accounting, Bookkeeping, Finance, Business Administration, or a related field.

Explicit Role Boundaries
- The Accounting Clerk supports finance administration and transaction execution; final approval authority for payments, exceptions, and financial decisions remains with the Finance Administrator or senior leadership.
- This role is responsible for creating and sending bills, processing financial records, and flagging discrepancies, but not for making independent pricing, contract, or policy decisions.
- Collections follow up may be part of the role, but escalated collections issues or sensitive client matters should be directed to the Finance Administrator or senior leadership.
