Accounting & Project Administration Coordinator

At Your Home Audio & Visual, we design and install high-performance smart home and integrated technology systems for residential projects throughout Toronto, Muskoka, and beyond.
As our company continues to grow, we are seeking an exceptional Accounting & Project Administration Coordinator to become a key part of our operations team.
This is not a traditional accounting position focused solely on bookkeeping. This is a dynamic, hands-on role for a highly organized administrative professional who thrives in a fast-paced, project-based environment and enjoys being deeply involved in the operational flow of a growing company.
A major component of this role involves managing project invoicing, service billing, customer account administration, and supporting coordination between project managers, technicians, vendors, and accounting.

Key Responsibilities: Project Billing & Financial Administration
This role will take ownership of the company’s project and service billing processes, ensuring invoicing is accurate, timely, and properly coordinated with operations and project management teams.
Responsibilities include:
- Managing customer invoicing for projects, service calls, and ongoing work
- Coordinating billing details with project managers and field staff
- Tracking project progress for invoicing milestones and completion
- Reviewing work orders, purchase orders, and project documentation for billing accuracy
- Managing accounts receivable and payment follow-up
- Processing vendor invoices and maintaining organized financial records
- Preparing vendor payments
- Performing bank and credit card reconciliations
- Assisting with HST filings and month-end procedures
- Supporting management with financial reporting and project tracking
- Maintaining organized accounting and project documentation
Payroll, HR & Employee Administration
- Process payroll accurately and on schedule
- Maintain payroll records and employee files
- Track vacation time, sick days, and employee leave balances
- Administer employee group benefits enrollment and updates
- Assist employees with payroll and administrative inquiries
- Support immigration and employment-related administrative documentation where required
- Ensure compliance with payroll and employment regulations
- Manage WSIB reporting and related filings
- Assist with onboarding documentation and administrative HR tasks
- Maintain confidential personnel records and HR documentation
Office & Operational Coordination
As a core member of the management and operations team, you will:
- Support senior leadership with day-to-day operational administration
- Work closely with project managers, project administrators, and technical field staff
- Assist with internal coordination, scheduling support, and workflow management
- Help maintain efficient office systems and administrative procedures
- Support communication and coordination between departments
- Assist with operational tracking and overall office organization
- Help ensure projects and administrative processes move efficiently and accurately
Qualifications
The ideal candidate will have:
- Experience with project billing, service invoicing, or construction/project-style billing
- Minimum 3 years experience in accounting administration, project administration, office management, payroll, or bookkeeping
- Strong understanding of bookkeeping and accounting procedures
- Experience processing payroll and managing employee records
- Knowledge of Ontario payroll regulations, HST, and WSIB requirements
- Excellent organizational and time management skills
- Ability to manage high-volume administrative workflow with strong attention to detail
- Strong communication and interpersonal skills
- Ability to work independently and confidently in a fast-paced small business environment
- High level of professionalism, discretion, and dependability
- A proactive mindset with strong follow-through and ownership mentality
Preferred Skills
- Experience with QuickBooks or similar accounting software
- Strong proficiency in Microsoft Office, particularly Excel
- Experience in audiovisual integration, construction, technology, or other project-based industries considered an asset
- Familiarity with payroll platforms and employee benefits administration
- Experience supporting operations teams and project managers
- Strong administrative coordination and workflow management skills

Compensation
Expected Salary Range:
$75,000 – $90,000+
(based on experience, independence, and overall skill set)
Additional compensation consideration available for highly experienced candidates with strong operational administration, billing, payroll, and accounting expertise.
