About the Role
We are looking for a Clinic Manager for our Olde Oakville location — a high-performing, multi-service clinic offering dermatology and medical aesthetics. What You’ll Do
As the Clinic Manager at Olde Oakville, you will own the full clinic experience: patient journey, team performance, operational flow, and revenue outcomes across our dermatology and MedSpa service lines.
Clinic Operations & Patient Experience:
- Ensure every patient interaction reflects GraceMed’s high-touch, white-glove standard — from first consult to follow-up care
- Manage clinic flow and scheduling across dermatology and medical aesthetics service lines to optimize provider time and patient access
- Own new patient conversion performance in partnership with Patient Coordinators and treatment providers
- Monitor and respond to funnel metrics including inquiries, show rates, and consult-to-treatment conversion
- Resolve patient concerns and service issues with professionalism and care
- Ensure compliance with GraceMed’s clinical protocols, regulatory standards, and operational policies
People Leadership & Team Development:
- Lead, coach, and develop a multi-disciplinary team including Patient Coordinators, Medical Aestheticians, Nurse Injectors, RNs, and Dermatology Leads
- Lead recruitment and onboarding for in-clinic roles
- Conduct regular 1:1s, performance conversations, and team huddles
- Build and maintain a positive, engaged team culture that reflects GraceMed’s values
- Manage physician and provider scheduling to maximize clinic capacity
Performance & Reporting:
- Drive daily, weekly, monthly, and annual revenue targets alongside the clinic team
- Analyze and act on KPIs to identify trends, opportunities, and gaps
- Report clinic performance and strategies to the Director of People Operations on a weekly basis
- Identify and implement improvements to clinic efficiency and patient throughput
What You’ll Bring
Required:
- Minimum 3 years’ experience in clinic management, healthcare operations, or a related leadership role
- Demonstrated ability to lead, develop, and hold accountable a multi-disciplinary team
- Strong patient or customer experience orientation with a track record of service excellence
- Experience working with performance targets, KPIs, and P&L reporting
- Proficient with EMR systems, scheduling platforms, and Microsoft Office / Google Workspace
- Outstanding communication skills — direct, warm, and effective across all levels
- Comfortable managing competing priorities in a fast-paced, patient-facing environment
An asset:
- Experience in medical aesthetics, dermatology, or a regulated healthcare setting
- Familiarity with Ontario Employment Standards and health clinic compliance requirements
- Experience with patient engagement software and practice management platforms
- Background in coaching or developing frontline healthcare or service teams
